Event Planning 101

The first thing any event planner needs to know is how many people they are going to be working with.  There is a huge difference between a 50 person barbeque and 125 person wedding, even though half the attendees might be the same people.

People in Attendance:

Invitations should have a way for your attendees to RSVP.  Facebook and other social networking sites offer a way to easily do this, and there are other web services as well.

Location:

Now that you have the number of people, you are going to have to decide on a location.  Perhaps you have, and they say they cannot accommodate your guest list.  That is not the end of the story.  Often times, venues that seem to be large enough are not certified for your desired capacity by the fire marshal.  However, with an outdoor tent you can increase your capacity, and maybe even get to use your favorite location for your event!

Lighting:

While many venues offer some architectural lighting, in order to make your event special, even a small lighting budget will go a long way. These are the details that people remember as a good feeling, something special about your event.  Right when they walk in the room, with a good lighting design, everyone will start off with a positive feeling.

Décor:

Perhaps you know how important lighting is.  If so, then you have likely already gone on to the décor section here.  Fabric swoops, banners, chandeliers, table arrangements, a good selection of linens, this is what brings an identity to your event.  While fabric is expensive relative to other production services, it provides a richness to an event that little else can.

Sound:

Due to the frequency of technical difficulties that can arise, many venues will not provide a highly modern flexible sound system without an in house AV department and all of the extra costs associated with such a department.  That is where we come in.  We have simple to operate but powerful PA systems available for rental, and larger systems available with technicians.  Bring your own AV department, and get more bang for your buck.
